Are all healthcare facilities in Abu Dhabi connected to Malaffi?

The Malaffi onboarding process is carried out in phases and we are expecting to connect all Abu Dhabi healthcare facilities by early 2022. Please note that all data sets from the connected facilities will not be immediately available, as those are also captured in phases. To find out who is connected to Malaffi, and which data sets they are contributing, please check this page on our website.

Will patient data from all UAE facilities be available in Malaffi?

The mandate of Malaffi is to connect all healthcare facilities in the Emirate of Abu Dhabi. The Ministry of Health and Prevention (MOHAP) has plans to enable information exchange between all healthcare providers on a federal level in the UAE.

Where can I find out who is connected to Malaffi?

Please visit this page on our website to find a list of providers who are connected to Malaffi. Facilities that are connected to Malaffi will receive a Malaffi Connected Certificate and may display the Malaffi Connected Symbol on their website. For more information, please get in touch with us at contact@malaffi.ae.

Which additional types of data will be made available in Malaffi?

At present the following data can be viewed in Malaffi:
– Patient demographic
– Laboratory results
– Procedures
– Vital signs
– Encounters
– Radiology reports
– Diagnosis
– Immunisations
– Allergies
– Medications
– Problems
– Clinical documents

To continue increasing the value of the clinical information in Malaffi, we are working to include radiology images and appointments. In addition, we will be looking at the technical feasibility of adding traces such as ECGs, EEGs and spirometry in the future.

Will radiology images be available in Malaffi?

At the current time, only radiology reports are available in Malaffi. However, Malaffi is working towards adding radiology Images to the platform and are expecting to have these available in 2022. These will be implemented using a phased approach.

Can information in Malaffi be downloaded as a PDF?

Yes, recently we enabled the ability to download and print laboratory results, radiology reports, vital signs and clinical documents.

How can a patient’s file be accessed in Malaffi for the first time?

Before you can access the Malaffi record for a patient, the patient must arrive in person and be registered in the Electronic Medical Record system (EMR) of your facility. Once this occurs, Malaffi receives a registration message, and the system will work to match the patient’s EMR record with the patient’s Malaffi record. If the matching criteria are met, you will then be able to access your patient’s Malaffi record by clicking on the link embedded in your EMR. If demographic details have been entered incorrectly in yours or any other EMR, this may prevent the matching of the EMR record with the patient’s Malaffi record, and you may not see all the data for your patient.

Why am I not able to see any or some data for my patients?

This could be due to one of the following reasons:
• As the onboarding uses a phased approach, the patient information you are looking for may not be available because the facility it should come from has not yet been connected to Malaffi
• The patient information from a specific facility that you are looking for may not yet be contributing the particular data type to Malaffi. For example – You are looking for discharge summaries from a specific facility, however that facility is currently not sending clinical documents to Malaffi and maybe in the process of connecting that data type
• The EMR system of the particular facility does not have the capacity to configure and share that specific data set with Malaffi
• If demographic details have been entered incorrectly in yours or any other EMR, this may prevent the matching of the EMR record with the patient’s Malaffi record and you may not see all the data for your patient

We recommend checking this page on our website, to verify the connection status of the facility you are looking for. For any other issues listed above, please contact the IT support of your facility who will investigate why the patient record is not available to you. You may need to note the patient MRN to support the investigation.

What should I do if I experience a technical issue with Malaffi?

If you experience any technical issues with Malaffi, please contact your organisation’s IT department to first investigate if the issue is related to the IT infrastructure of the facility before they reach out to the Malaffi IT support desk. This is to investigate whether the technical issues are occurring locally and can be resolved internally before raising it with Malaffi for further investigation. If you are encountering problems with a particular patient record, please keep note of the patient MRN as this may be required by the IT Support team during the investigation.

How do I receive training on Malaffi?

As per the DOH Policy, providers are expected to ensure that each of its Malaffi authorised users undergo continuing and/or refresher training on an annual basis as a condition of maintaining authorised user status. If you require training, please contact your training point of contact. The training videos are also available on our YouTube channel here. In addition, Malaffi also conducts awareness session on how to utilise the system more efficiently, which can also be arranged through your training point of contact.

How does Malaffi protect patient confidentiality?

Ensuring privacy and security of patient information is a priority for the Department of Health and Malaffi, as we also follow Abu Dhabi Healthcare Information and Cyber Security (ADHICS) standards. The view of patient information in Malaffi relies on role-base access and organizational security which is assigned by your IT team to ensure users are assigned the appropriate security level based on their functional needs and job role. Only Level 1 users are able to ‘Break the Privacy Seal’ to access all patient data which includes sensitive patient information. All user access is monitored and logged.

What is the difference between Malaffi HIE and the Cerner EMR system at SEHA?

The brand name ‘Malaffi’ was originally used for the Cerner EMR system at SEHA from 2012 to 2019. In 2019, the Department of Health chose to use the iconic brand name for the newly established Abu Dhabi Health Information Exchange, now known as Malaffi. The EMR system at SEHA was then rebranded to Salamtak, which is used today. Please note that the use of these names correctly is very important to avoid misunderstanding.

Will patients have access to Malaffi?

Patients will have access to their key information in Malaffi through the patient portal and app that will be available in 2022. This will empower and encourage patients to take a more proactive approach to manage their health.

I can’t see the Malaffi icon or the Malaffi tab in my EMR?

Please speak with your technical support team or reach out to a Malaffi Super User as each EMR is different and the way you access Malaffi is unique to your organisation.

I have clicked on the Malaffi icon/tab and I can see a long document (End User Licence Agreement) and I don’t know what to do. I cannot see my patient information in Malaffi.

If you are authorised to access Malaffi and you agree to the terms of use, please scroll all the way down and select the ‘Accept’ button. You will then be directed to your patient record in Malaffi.

Why do I see ‘No Results Found’ in Malaffi?

If there is no data available to populate any columns in a windowlet from any of the source EMR’s connected to Malaffi, it will display ‘No Results Found’.

What is ‘Delta View’?

The ‘Delta View’ gives you a view of the patient record removing all information recorded at your own organisation as you already have this information in your EMR. To see the full view of your patient record, select the ‘Patient Summary’ Tab.

Remember a full view of Allergies can always be seen in the Patient Banner – Allergies Alert field.

How can I be sure that the patient I am seeing in Malaffi is the same patient in my EMR?

Malaffi is utilising a market-leading patient matching system which ensures the right patient is accurately matched to the right record.

If you are concerned that the patient you are viewing in Malaffi is not the same as the patient in your EMR, please take note of the MRN and raise a ticket with your technical support services. They will then raise this with Malaffi Support.

Why is my patients’ name spelt differently in Malaffi to in my EMR?

Demographics in Malaffi are updated regularly from the source EMR’s connected to Malaffi. The information that you see in the Malaffi patient record is the last updated information which may be from an organisation other than your own where they may have recorded the patients name slightly differently in their EMR.

If you are concerned that the patient in Malaffi is not the same as the patient in your EMR, please record the MRN and raise a ticket with your technical support services. They will then raise this with Malaffi Support.

Why is my patients’ Date of Birth different in Malaffi to in my EMR?

Demographics in Malaffi are updated regularly from the source EMR’s connected to Malaffi. The information that you see in the Malaffi patient record is the last updated information which may be from an organisation other than your own where they may have recorded the date of birth information incorrectly and/or only captured the correct year of birth.

If you are concerned that the patient in Malaffi is not the same as the patient in your EMR, please record the MRN and raise a ticket with your technical support services. They will then raise this with Malaffi Support.

How is information classified as sensitive in Malaffi?

All sensitive patient information that can be coded – for example, Problems, Diagnosis, and Laboratory and Procedure codes – are flagged as sensitive in Malaffi and view of this information is restricted depending on your role in your EMR.

No Allergies or Medication information will be restricted

For Primary Providers only: I can’t see the Sensitive information, even though I have broken the seal.

The best way to view sensitive information is to maximise each windowlet so you can see the expanded view of 100 lines of information.

The sensitive information will be highlighted by an unlocked padlock symbol in the first column of the windowlet.

How are Allergies in Malaffi ordered?

Allergies are ordered by severity first, then the date recorded in the source EMR.

Why am I seeing duplicate Allergies?

Malaffi is displaying information directly from the source EMR. For Allergies, we will display free text as well as coded allergies. This will mean that you may see duplicate Allergies from the same source as well as duplicate Allergies from different sources.

If the Allergies are coded, Allergies sharing the same code will be rolled up under the red magnifying glass

What does the red magnifying glass in the Allergies windowlet show?

Clicking on the red magnifying glass will show all common Allergies sharing the same code that were recorded for this patient and the organisation where they were recorded.

I can see ‘No Known Allergies’ for one organisation and ‘Allergies’ recorded at another organisation. Is this a mistake in Malaffi?

This is not a mistake in Malaffi. Remember Malaffi is displaying information directly from each source EMR. This represents an opportunity to confirm your patient’s allergy status with them and update your EMR if required.

How are Encounters in Malaffi ordered?

Encounters are ordered by most recent date.

What does the red magnifying glass in the Encounters windowlet show?

Clicking on the red magnifying glass will show all Diagnosis’ that were recorded for this encounter.

What are Problems in Malaffi?

Problems are chronic issues for the patient that are recorded in the source EMR.

All Problems are coded, Malaffi does not display free text Problems

NOTE: Not all organisations record Problems in their EMR.

What does the red magnifying glass in the Problems windowlet show?

Clicking on the red magnifying glass will show all common Problems sharing the same code that were recorded for this patient and the organisation where they were recorded.

Why can’t I see all the Procedures that are recorded for my patient in my EMR?

Malaffi is only displaying surgical and minor procedures recorded for the patient.

What does the red magnifying glass in the Procedures windowlet show?

Clicking on the red magnifying glass will show all Procedures that occurred on the same date and time for this patient and the organisation where they occurred.

What do I do when I see the wrong information recorded for a patient in Malaffi?

Remember Malaffi is displaying information directly from each source EMR. It is important that if you feel patient information needs updating, this is done directly at the source EMR.

It is up to clinicians to verify information directly with the patient and ensure their own EMR is up to date and correct.

Why can’t I see Clinical documents?

Due to sensitivity restrictions, clinical documents are currently only available for viewing by the Malaffi Primary Provider role.

What Clinical documents are available in Malaffi right now?

Malaffi are currently working with all connected facilities in a phased approach to receive Clinical Documents. At present Malaffi only receive Discharge Summaries, Procedure Reports, Referral Notes and Outpatient Clinic Notes.

Why can’t I see all Medications administered to my patient?

Remember in Delta view, all patient information from your organisation will be filtered out, including Medication data from your EMR. If you believe the patient is missing some data, remember to check the Patient Summary tab. Here you will see patient information from your own facility as well. If you still believe data is missing for the patient, please record the MRN and raise a ticket with your technical support services

The default view for Medications is the last 1 year, and Prescribed Medication only. Choose from the dropdown to see other Medication Event Types.

Malaffi only receives take home only (Prescribed and Dispensed) medication for Outpatient, Emergency and Inpatient encounters. All Administered medication is received for Outpatient and Emergency encounters only (for Inpatient encounters we will not receive any Administration information).

For Administered Medication, where is the information associated with administration?

Click on the Medication row to see further information including Administration Notes, Drug Code and other details.

Why can’t I see any Laboratory or Radiology results for my patient?

Why are the laboratory results from different facilities not appearing side by side in the cumulative view?

Currently EMR’s are sending different coding systems for their Lab tests and Lab results which means they cannot be compared side by side and impacts the ability to graph results across organisations.
When EMR’s standardise the coding systems, this will improve the view in Malaffi.

Can I print my patients’ Laboratory or Radiology results?

Yes, you can use the print link on the far right of the individual test result.

My patient has had many vital signs performed, at which point in the Encounter are Malaffi receiving Vital Signs?

Malaffi receives vital signs information when your patient is admitted to an Outpatient, Emergency or Inpatient encounter and then again on Discharge from an Emergency and Inpatient Encounter.
